The Problem

Coordination by spreadsheet. 

No cross-location visibility

With five venues across the UK and US, staff at each site had no easy way to see capacity or bookings beyond their own location. Coordination happened via messages and spreadsheets.

Manual capacity tracking

Session headcounts, add-ons, and BYOP (Bring Your Own Pug) slots were tracked manually. Knowing whether a session was filling up required cross-referencing multiple sources.

UK compliance with no tooling

UK venues require vaccination records for any pug brought in. Tracking and verifying that across two London sessions and one in Edinburgh had no dedicated home.

What It Enables

Less checking. More doing. 

Real-time session view

Staff see every session for the day at a glance: customer names, booking types, add-ons, and a capacity bar that shifts from green to amber to red as slots fill.

BYOP vaccination status

For UK venues, the portal tracks which customers have submitted vaccination forms and flags anything outstanding before the session starts.

Location-aware login

Each of the five locations has its own login. A Master login provides oversight across all sites. UK and US venues follow different rules. The portal handles that automatically.

Date navigation

Staff can move forward or backward by day using a calendar picker, useful for prepping the next day's sessions before going home.

UK Compliance

Vaccination tracking built in.

Customers bringing their own pug to a UK session need to submit vaccination records in advance. The portal shows the status per booking (verified, pending, or missing) so staff aren’t chasing paperwork on the day.

US venues don’t have this requirement. The portal handles both rule sets automatically based on location.
